Privacy Policy

Introduction
Pydia LLC ("Pydia," "we," "us," or "our") is committed to protecting the privacy of everyone who interacts with our platform. This Privacy Policy explains what personal information we collect, how we use and protect it, who we share it with, and your rights regarding your data.
This Policy applies to three groups of people:
- Teachers — enrichment educators who hold a Pydia account
- Parents and guardians — who submit enrollment forms or use the ESA assistant on behalf of their children
- Visitors — anyone who visits getpydia.com
By using the Service, you acknowledge that you have read and understood this Privacy Policy.
1. Information We Collect
From Teachers (Account Holders)
- Full name, email address, and phone number
- Studio or business name and ClassWallet display name
- Mailing or service address
- Teaching credentials (documents uploaded for expiry tracking)
- Profile photos, gallery images, class descriptions, and other public profile content
- Subscription and billing information — payment card data is processed and stored by Stripe; Pydia does not store card numbers
- Connected Stripe account identifier for payment routing
- Login timestamps and general platform usage activity
- Date and time of acceptance of these Terms
From Parents and Guardians (via Enrollment Forms)
- Parent full name, email address, and phone number
- Student first and last name, and date of birth
- Allergy and medical information relevant to class participation
- Emergency contact name and phone number
- ESA enrollment status
- Responses to teacher-defined intake questions
- How you heard about the teacher
- Payment method selection
This information is collected by Pydia on behalf of the teacher. The teacher is the data controller for family enrollment data. See Section 5 (Children's Privacy) for additional disclosures regarding student information.
From Parents and Guardians (via Family Account Signup)
- Full name, email address, and password (hashed)
- Zip code
- Children's names, grade levels, subjects of interest, and ESA status
From Visitors and ESA Assistant Users
- IP address — used for rate limiting only; not stored beyond 24 hours
- Email address if submitted via lead capture forms on the site
- Questions submitted to the ESA AI assistant (see Section 8)
2. How We Use Your Information
Teacher information is used to:
- Create and maintain your Pydia account
- Process subscription payments through Stripe
- Publish your public teacher profile at your unique URL
- Generate ClassWallet-compliant ESA invoices containing your required vendor details
- Send transactional emails — enrollment alerts, invoice delivery, session reminders, credential expiry warnings
- Track credential expiration dates and surface alerts on your dashboard
- Administer the Founding Partner program
- Respond to support inquiries
Parent and student information is used to:
- Process enrollment requests submitted to the teacher
- Populate ESA invoice documents with required student and parent data
- Send enrollment confirmation, approval, and session reminder emails on behalf of the teacher
- Maintain a student roster for the teacher's records
We do not sell, rent, trade, or otherwise share your personal information with third parties for marketing or advertising purposes. Ever.
3. Information We Share
Pydia shares personal information only as necessary to operate the Service. The following sub-processors receive data to deliver specific features:

We may also disclose information when required by law, court order, or regulatory request, or when we believe disclosure is necessary to protect the rights, property, or safety of Pydia, our users, or the public.
In the event of a merger, acquisition, or sale of Pydia's assets, personal data may be transferred to the acquiring entity. We will notify affected users via email before such a transfer takes effect.

After the applicable retention period, data is permanently deleted from our active systems and scheduled for removal from encrypted backups within 30 days.
5. Children's Privacy
Pydia is not directed to children under 13, and we do not knowingly solicit personal information directly from children. Enrollment forms are completed by parents or guardians on behalf of their children.
We do collect and store limited information about students as submitted by parents: first and last name, date of birth, allergies and medical notes, and emergency contact information. This information is used solely to operate the enrollment and invoicing functions of the Service on the teacher's behalf and is never used for advertising or profiling.
Parent rights regarding student data: If you wish to review, correct, or delete information you submitted about your child, please contact the teacher who manages the class directly — they are the data controller for this information. If you are unable to resolve the request with the teacher, contact us at support@getpydia.com and we will assist within 30 days.
6. Data Security
We implement the following security measures to protect your data:
- All data transmitted to and from the Service is encrypted via TLS/HTTPS
- Row-level security policies control data access at the database level
- Credential documents are stored in a private storage bucket and served only via time-limited signed URLs — never publicly accessible
- Rate limiting is applied to all public-facing forms and API endpoints
- Access to production systems is restricted to authorized Pydia personnel only
- Server-side validation of all file uploads including MIME type verification
No method of electronic storage or transmission is 100% secure. In the event of a data breach affecting Arizona residents, Pydia will notify affected individuals as required by Arizona Revised Statutes § 18-552 without unreasonable delay.
7. Cookies and Tracking
Pydia uses only session cookies that are strictly necessary for authentication. We do not use advertising cookies, cross-site tracking cookies, or third-party behavioral analytics. No cookie consent banner is required because we do not set any non-essential cookies.
8. AI-Powered Features
The Pydia ESA Assistant is powered by Claude, an AI language model developed by Anthropic, PBC. When you submit a question to the ESA assistant, the text of your query is transmitted to Anthropic's API for processing. Anthropic's use of this data is governed by Anthropic's Privacy Policy.
We recommend not including personally identifying information — such as names, ClassWallet account numbers, or home addresses — in ESA assistant queries. The assistant is designed to answer general policy questions about the Arizona ESA program and does not require personal details to be helpful.
ESA assistant queries are not stored by Pydia unless you choose to save a shareable answer link, in which case the question and response are stored to generate that link.
9. Your Rights
You have the right to:
- Access — request a copy of the personal information we hold about you
- Correct — update inaccurate or incomplete information in your account settings or by contacting us
- Delete — request deletion of your account and personal data, subject to the retention requirements in Section 4
- Export — download your student data at any time via the CSV export on the Students page in your dashboard
- Opt out of marketing — unsubscribe from any non-transactional email via the unsubscribe link included in every marketing message
To exercise any of these rights, contact us at support@getpydia.com. We will respond within 30 days. We may ask you to verify your identity before fulfilling the request.
10. Links to Third-Party Sites
The Service may contain links to external websites, including ClassWallet, the Arizona Department of Education, and Stripe. This Privacy Policy applies only to getpydia.com. We encourage you to review the privacy policies of any third-party site you visit.
11. Changes to This Policy
We will notify you of material changes to this Privacy Policy by email to your registered address at least 14 days before changes take effect. The updated Policy will always be available at getpydia.com/privacy with the effective date clearly displayed.
Continued use of the Service after the effective date constitutes acceptance of the updated Policy. If you do not agree, you must stop using the Service before the effective date.
