Emails Pydia sends for you
For teachers · Last updated October 16, 2026
Pydia handles most of the email that comes with running classes: confirmations, reminders, invoices, receipts and payment follow-ups. This page lists what goes out, who gets it and when.
The basics
- Replies come to you. When a family replies to a Pydia email, it goes to your email address, not to Pydia.
- Your name on every email. Family emails name you and your offering. They come from Pydia's sending address.
- You can see what was sent. Each student's page lists every email sent to their family, and whether it went out.
- Pydia tells you when emails don't arrive. If a family's address bounces, you get an email and a Needs attention item on your dashboard, so you can fix the address and resend.
- Families get a dashboard button. Every family email links to their Pydia dashboard. No password needed.
When a family signs up
To the family
- A confirmation right after they sign up: "You're enrolled", or "Request received" if you approve sign-ups yourself.
- When you approve or decline a request, an email telling them which.
- If the class is full and they join the waitlist, a confirmation that they're on it.
To you
- An email for each new sign-up or inquiry, with the family's details. Families who pay by card at sign-up appear on your roster once they've paid.
- When a spot opens in a full class that has a waitlist, an email so you can offer it.
When you add a student yourself, you choose whether Pydia emails the family a confirmation.
Before each class
- Session reminder. At 8 AM the day before a class, each family gets one email listing their children's sessions with you that day. Families can turn these reminders off.
- Private lesson schedules. When you set up a student's private lesson schedule, the family gets the dates.
Invoices
To the family
- The invoice, with the PDF and step-by-step ClassWallet instructions.
- A reminder 3 days after you sent it and another on day 10, if it's still unpaid. A family with several open invoices with you gets them in one email.
- A reminder whenever you click Send reminder.
To you
- When a family says they already submitted an invoice in ClassWallet.

Card payments
To the family
- A payment link when they need to pay by card, or a link to save a card for private lessons.
- A receipt after every card payment, which they can use for ESA reimbursement.
- A refund confirmation when you refund them.
To you
- When a card is declined, so you can ask for a new one.
- When a refund fails or a family disputes a charge, with the date you need to respond by.
- If a family may have paid twice, for example by card and through ClassWallet for the same invoice.
- If card payments turn off because your Stripe account was disconnected.
Monthly card payments
To the family
- A confirmation with what they agreed to when they sign up.
- A reminder 3 days before each charge, and a receipt after it.
- 30 days' notice before their price goes up.
- If a payment fails: an email asking them to pay or update their card, and another if their payments are stopped.
- Confirmation when they cancel, or when you waive a month.
To you
- One email when a family's monthly payments start.
- When a family cancels, or changes their mind and keeps their payments.
- When a family's payment still hasn't gone through after 7 days.

Messages you write
- Message families. From an offering's Students tab, send one message to every family in it, with an optional attachment. Each family gets one copy, even with several children enrolled.
- Cancelling an offering. You write a note, and every family in it gets it.
- Invite past students. When you run an offering again, you can invite the families from last time.
Each message is saved under Past messages, with which families it reached.
About your Pydia account
You also get emails about your own Pydia account and plan, such as a payment for your plan that didn't go through.
